AVdesign LED Studio Terms and Guidelines
Applicable to all client bookings and use of AVdesign's LED studio
1. Booking and Payment
A booking is confirmed in accordance with AVdesign's Terms of Sale and Delivery and the applicable quotation or order confirmation.
The agreed Deliveries, rental period and price are stated in the quotation or order confirmation. Services or equipment not included must be agreed and purchased separately.
Any agreed deposit or prepayment must be received by the stated deadline.
2. Studio Access and Rental Time
Studio access and load-in and load-out times will be confirmed before the production.
The booked rental period includes load-in, setup, testing, rehearsals, production, teardown and load-out.
All activities must be completed within the booked rental period. Time exceeding the booking will be charged at the applicable overtime rate and is subject to staff availability.
Late arrival does not extend the booked rental period.
The Client must follow all reasonable instructions given by AVdesign personnel while on AVdesign's premises.
3. Equipment and Technical Requirements
The base studio rental includes the agreed LED wall, lighting and technical infrastructure as specified in the quotation or order confirmation.
AVdesign equipment may only be operated by AVdesign personnel.
The Client may bring its own cameras, lenses, monitors, props and other production equipment, provided that it complies with applicable electrical and safety requirements.
AVdesign may refuse or disconnect equipment that presents a safety risk or may interfere with studio operations.
All connections must use designated power outlets, signal connections and cable routes.
The Client is responsible for all equipment and other property brought onto the premises.
4. Electrical Safety and Power
Standard 230V power outlets are available for general production use within the agreed capacity.
Equipment requiring three-phase power (400V / CEE industrial connection) or unusually high electrical consumption must be declared before the booking and may incur additional charges.
The Client must ensure that its total electrical load remains within the agreed capacity.
No changes may be made to AVdesign's electrical installation, power distribution, network or other infrastructure without prior written approval.
All electrical equipment must be safe, properly grounded and compliant with applicable regulations.
5. Studio Rules
Smoking, vaping, open flames and illegal activities are prohibited anywhere on AVdesign's premises.
Food and beverages are permitted only in designated areas and must be kept away from the LED wall and other technical equipment.
The studio must be returned in the same condition in which it was received. The Client must remove all equipment, props, materials and waste before departure.
Additional cleaning, waste removal or restoration may be charged to the Client.
Pets are not permitted unless approved in advance.
Smoke, haze, fog, confetti, pyrotechnics and other special effects require prior written approval and may incur additional charges.
Rigging points, structures, walls, mounts and equipment must not be altered or overloaded. Any special rigging or set construction must be approved and priced in advance.
6. Photography and Confidentiality
The Client must respect the confidentiality of AVdesign, its customers and other productions taking place on the premises.
Except as required for the booked production, photography, filming or recording of other productions, AVdesign workspaces, technical installations, equipment or confidential material is not permitted without prior written approval.
Confidential information obtained while using the studio must not be disclosed to third parties.
The confidentiality obligations in AVdesign's Terms of Sale and Delivery apply to all studio bookings.
7. Acceptable Use and Client Content
The studio may only be used for lawful and professional productions.
Productions involving illegal activities or explicit pornographic content are not permitted.
AVdesign may refuse or immediately terminate a booking that may violate applicable law, damage AVdesign's reputation or breach these Terms and Guidelines.
Unauthorised use of the studio or AVdesign equipment may result in additional charges and immediate termination of the rental.
The Client warrants that it owns, or has obtained, all necessary rights, permissions and consents for content, graphics, video, images, audio and other materials displayed on the LED wall or otherwise used in the production.
8. Liability, Insurance and Damage
The Client is responsible for loss of or damage to AVdesign's premises, equipment or other property caused by the Client or its personnel, contractors or guests during the rental period.
Any loss, damage, accident or unsafe condition must be reported immediately to an AVdesign representative.
AVdesign may charge the reasonable cost of repair, restoration or replacement.
The Client is responsible for ensuring that adequate insurance is in place for its personnel, equipment and production. Proof of insurance must be provided on request.
AVdesign is not responsible for loss of or damage to the Client's equipment or belongings, except to the extent that liability cannot lawfully be excluded.
AVdesign's liability is otherwise governed by its Terms of Sale and Delivery.
9. Cancellation, Rescheduling and Force Majeure
Cancellation or rescheduling requests must be submitted in writing and are subject to AVdesign's confirmation and availability.
Requests received less than 7 business days before the booked start time may incur additional charges or forfeiture of any deposit paid.
Any delay, technical failure, inability to provide the studio or force majeure event is governed by AVdesign's Terms of Sale and Delivery, including its provisions on delay, defects and limitation of liability.
10. Additional Terms
Any special production requirements, including additional power, rigging, scaffolding, aerial setups, large set construction or unusual equipment, must be disclosed, approved and priced before the production date.
Any departure from these Terms and Guidelines must be agreed in writing by AVdesign.
Danish law and the dispute-resolution provisions in AVdesign's Terms of Sale and Delivery apply.
These Terms and Guidelines supplement AVdesign's Terms of Sale and Delivery and the applicable quotation or order confirmation. By confirming a booking, the Client agrees to comply with them and to ensure that its personnel, contractors and guests do the same. In the event of any inconsistency, the applicable quotation or order confirmation and AVdesign's Terms of Sale and Delivery shall prevail, in that order.
